Job Description:
Lutheran Services Florida (LSF) envisions a world where children

looking for a talented Program Fiscal Assistant who wants to make
an impact in the lives of others. Purpose & Impact: Responsible for
maintaining accounts payable records for Refugee and Immigration
services clients, vendors, and funding sources. The ideal candidate
will be fluent in both English and Spanish! Essential
Functions:
- Codes recurring and direct pay invoices and bills to charge to
the appropriate line Maintains accounts payable as required by
funding source.
- Maintains accounts payable records to insure a clear audit
trail for auditors and program viewers as outlined in the Accounts
Payable Policy and Procedures
- Maintains appropriate files of all purchase orders. Maintains
numeric order file of PO's issued and verify all are accounted for
in the payables cycle.
- Enters all accounts payable into the accounting software
system.
- Maintains vendor files, updating addresses and other
information that is applicable to vendor changes. Obtains W-9's and
vendor set-up information from new vendors/contractors.
- Scans and files paid bills, and all payables records, including
canceling paid invoices by stamping paid, proofing and initial
Child Care Providers payments, maintaining voucher payment files by
provider.
- Gathers, collects, collates all documentation required for
timely payment of vendors, PO's, Child Care providers, payments,
including receiving slips, PO's, verifying signatures, PO's
authorizations, etc.
- Serves as back up support to other team members, as assigned.
Cross trains in these areas.
- Abide by the policies as set forth by funding sources and
Lutheran Services Florida. These include OMB A-122, and OMB A-110
(45CFR Part 74 for HHS), and all Policies and Procedures adopted by
the agency.
- Maintains strict confidentiality with respect to the children,
families and staff in accordance with established policies and
procedures.
- Attends all workshops and meetings as deemed necessary by the
supervisor
- Attends all required staff and parent meetings and
activities.
- Performs other related duties as assigned. Other Functions:
- May enter all financial transactions of the client's funds into
the IRIS system as well as accounting per procedures in a timely
manner
- May create and document check request vouchers for all R&P,
APA, MG, and PC clients per scheduled if necessary
- Must possess a clean/valid Florida Driver License, reliable
transportation and proof of insurance (transcript of driving record
will be requested from the Department of Motor Vehicle at the time
of hire).
- Completes inventory control data entry form from DPVs, enters
information in the database, and tags all the equipment and
furniture regularly.
- Provides indirect supervision of Resettlement Program
staff.
- Assists manager with RFP and other project.
- Assists Manager in enforcement and attaining program
goals.
- Provides training to program staff if necessary. Physical
Requirements:
- Able to travel to other counties.
- Able to sit and stand for long periods of time.
- Able to utilize office equipment.
- Able to work in fast paced environment. Education: Associates
degree in business, accounting or related field. Successful
experience in nonprofit accounting may substitute for education
with two years of specific accounting non-profit experience
substituting for one year of education. Experience: At least two
(2) years of successful work experience in bookkeeping and
accounting, preferably in a non-profit setting. Skills:
- Proficiency in Microsoft Office applications
- Knowledge of community resources and ability to connect
families to community services.
- Excellent verbal and written communication skills
- Critical assessment and analysis skills
- Ability to work and deal a diverse group of clients.
- Must be able to keep confidential information.
- Bilingual Other: Must demonstrate sensitivity to our service
population's cultural and socioeconomic characteristics and needs.
Principal Accountabilities:
- Reports to Program Director
- Must be a team player with monitors as well as other clerical
staff.
- Accurate, complete and timely submission of required reports to
funders and LSF.
- Effective working relationship with clients (providers).
